Executive Assistant in Madagascar

Coconut water took its roots in Battambang, Cambodia at the end of 1994, in order to support destitute families following the crimes perpetrated by the Khmer Rouge.
A few years later, Eau de Coco extended its aid to disadvantaged populations in Brazil and Madagascar, particularly supporting children and women and focusing on education as a driver of development.
Today, through its various action programs, Eau de Coco contributes to improving the quality of life of more than 40.000 people in Madagascar and Cambodia.

 

Context

 

As part of an approach of international solidarity and support for people in situations of extreme poverty in Madagascar, the EAU DE COCO network intervenes through local partners.
The NGO Bel Avenir, one of them, has the mission of fighting against school dropouts, child labor, non-respect of children's rights, malnutrition, early pregnancies, respect for women's rights, environmental problems...
The NGO Bel Avenir has several activity sites and around ten projects spread across the Haute-Matsiatra (Fianarantsoa) and Atsimo-Andrefana (Tuléar) regions and a team of around 200 local employees.
One of Eau de Coco's missions with its local partners is to strengthen human skills where necessary.

 

Projects

 

Under the responsibility of the general director of the NGO Bel Avenir, the executive assistant is responsible for providing support to management in matters of administrative and financial management, communication, information, partnership relations and monitoring of files and activities. He will have a shared office within the NGO Bel Avenir in Tuléar.

 

What to do

 

Organization of the manager's agenda and reception

  • Manage the manager's diary and daily schedule (making appointments, missions, etc.),
  • Physically welcome appointments,
  • Prepare and organize the logistics of various professional events (meetings, travel, oral presentations, seminars, trade shows, conference calls, etc.),
  • Prepare and control the files necessary for the manager's mission (documentation, reports, communication supports, various notes for meetings or appointments, etc.),
  • Ensure the preparation and monitoring of files in advance.

 

Management and monitoring and archiving of the manager's reports and documentation

  • Receive and sort mail to present only essential information to your manager,
  • Attend meetings and write reports,
  • Organize the sorting and archiving of important documents (collect, process, classify and update information),
  • Manage and update professional and regulatory documentation,
  • Report through regular updates on the progress of your work, planned meetings and letters to be sent,
  • Gather and format monitoring elements (dashboards, indicators, reporting, etc.) of projects,
  • Place orders for equipment, supplies, consumables and check the conformity of deliveries,
  • Ensure monitoring of the conditions of execution of a partnership, an investment and a project.
  • Carry out complete audits and monitoring of the organization's departments and services.

 

Communication

  • Write communication materials (notes, correspondence, reporting, reports, reports, etc.),
  • Structure and ensure the transmission of information internally and externally (documents coming from the various departments of the organization or from outside the departments concerned based on instructions from its manager).

 

General activities

  • Train a local employee for succession
  • Collaborate with the management assistant team already in place,,
  • Report on its actions to the management of local partners and Eau de Coco,
  • Be respectful of the values ​​and the code of ethics and professional conduct of the Eau de Coco network and the internal regulations of local partners

 

Experiences, Qualities and Training of the candidate

Conditions

 

Location of the position:

  • Based position (shared office) at the headquarters of the NGO Bel Avenir – TULEAR – Atsimo Andrefana Region – Madagascar
  • Frequent travel to the intervention area (several times per week)

 

Contract

  • VSI – International Solidarity Volunteer
  • Dates of the position: 1st semester 2024
  • Duration: 2 years
  • Contract conditions:
    – Monthly compensation: 2 MGA (estimate at €250 depending on exchange rate)
    – Mandatory training before contract: 2 weeks (La Guilde – Eau de Coco)
    – Coverage of a plane ticket at the start and end of the contract,
    – Coverage of long-stay visa costs,
    – Support for a basic medical and social package (in compliance with VSI regulations)
    – Hours: Monday to Friday: 8 a.m. - 12 p.m. / 14 p.m. – 18 p.m. (40 hrs / week)
    – Annual leave: 24 working days
